Privacy Policy

This policy explains how By Tutors (“we”, “us”) handles personal information when you use bytutors.academy, bytutors.in, the academy portals at app.bytutors.academy (including /online), and related services.

We are a tuition centre. Accounts are created by our staff after admission or trial booking. Students and tutors do not create public self-serve accounts.

Who this applies to

• Students enrolled in Offline academy or Online live classes
• Parents or guardians whose details are stored on a student record
• Tutors and academy staff
• People who contact us for a trial or enquiry

Information we collect

• Account: name, login ID, password (stored by our auth provider, not in plain text), role (student, tutor, admin), phone, optional email
• Student record: class, board, school, address, parent name, parent phone, parent email, batch or group, timetable
• Learning: attendance, topics taught, homework and tests, scores, notes, curriculum progress, AI practice where enabled
• Classes: Zoom meeting details, join times, and class completion. Cloud recordings are stored only if a Zoom plan and settings allow them
• Fees and salary: fee plans, due dates, payments recorded by staff, tutor pay rates and payout requests
• Files: homework, tests, notes, and marked PDFs or images you or a tutor upload
• Technical: login sessions, device/browser needed to keep you signed in, and basic server logs to keep the service running

How we use it

• To run classes, homework, tests, notes, attendance, and the student/tutor portals
• To contact parents or students about schedule, fees, or academy messages
• To generate and grade practice (where AI tools are turned on)
• To pay tutors and keep fee records
• To keep accounts secure and diagnose outages

We do not sell personal information. We do not use student work for public advertising.

Who we share it with

We use processors only to run the academy:

• Hosting and the websites (Vercel)
• Database, login, and file storage (Supabase)
• Live classes (Zoom)
• AI practice and grading, when that feature is enabled (OpenAI)

Staff at By Tutors see only what their role needs. We may disclose information if Indian law requires it.

Children

Many of our students are minors. A parent or guardian (or the school, through us) provides the child’s details. We do not offer public sign-up for children. If you believe we hold a child’s data without a proper enrolment, email admin@bytutors.academy and we will delete or correct it.

Cookies and sign-in

The marketing site uses only what is needed to show the pages. The academy portals use session cookies or local device storage so you stay signed in until you sign out. We do not run third-party advertising cookies.

Your rights and deleting an account

You (or a parent, for a student) may ask us to access, correct, or erase personal information. You can:

• In the Offline portal, open Account and choose Delete account
• In the Online portal, open Profile and choose Delete account
• Email admin@bytutors.academy or use account deletion instructions

Deleting an account removes the login and the live student or tutor record. Related class history may be anonymised or removed. Backup copies are deleted on our normal backup cycle. We may keep a minimal fee or legal record where Indian law requires it.

The last academy admin cannot delete their own account until another admin exists, so the centre is not locked out.

How long we keep data

We keep records while a student or tutor is active, then for a reasonable period afterwards for fees, academic history, and legal duties. Enquiry messages are kept only as long as needed to follow up.

Security

Access is limited by login and role. Passwords are handled by our auth provider. No method of transmission over the internet is completely secure; please keep your Login ID private.
